Insight & Design Goal
In the daily operation of the gallery, we find that many artists do not organize the archives of works of art, and the work that requires archives is operated by the gallery or the artist’s assistant. This part of the repetitive work takes up a lot of time for gallery staff and artist assistants. On average, each exhibition takes two weeks to repetitively organize.
Therefore, we try to design and develop an archive organization tool within the art institution, which is convenient for artists and galleries to organize their archives.
Role: Product Designer
Duration: 8 weeks
User Interviews
In order to find out the actual pain points of the target users, we visited three representative artists.
Arnold Chang
Founder of Sotheby’s Chinese Painting and Calligraphy
Contemporary Landscape Ink Artist
His works have been collected in the Metropolitan Museum of New York, the Brooklyn Museum of Art in New York, the British Museum in London, the Art Institute of Chicago
TAI XIANGZHOU
Contemporary landscape Ink Artist
His works are mostly collected in the Freer Museum, Minneapolis Art Museum, Nelson Atkin Art Museum, Brooklyn Museum
MICHAEL CHERNEY
Landscape Photographer
His works are mostly in the Berkeley Museum of Art/Pacific Film Archive, the Cleveland Museum of Art, the Getty Institute, and the Harvard Art Museum Sackler Museum
The following information was sorted out through the interviews.
Satisfaction of the existing archiving process (0-10) (unsatisfied-satisfied)
User Flow
Based on the user’s actual archiving process, we have exported a journey map to determine the design direction.
Design Solution
Based on enforceability, we have established 1, 3, 4, 5 as the main design solution.
Prototyping
We created a prototype of the archive based on Google Sheet to refine the design details.
Prototype 1
Problems:
1. Untidy interface.
2. Lack of detail information on a single page.
3. Repetitive actions.
4. Steep learning curve.
Next Step:
1. Optimizing the interaction flow.
2. UI redesign.
Prototype 2
Problems:
1. Missing “Duplicate” function.
2. Lack of visual optimization.
3. Missing Group selection.
Next Step:
1. Continue to optimize interaction logic.
2. Simplifying user interface.
Design Iterations
Approach 1
Solutions:
1. Adding multi-select function to reduce repetitive actions.
2. Adding keyword search bar and reduce cataloging time.
3. Optimizing the buttons.
Approach 2
Solutions:
1. Using side screen pop-up pages to reduce page jumps.
2. Automatically generated QR code, adding portal jump through camera.
3. Adding batch label printing function.
Approach 3
Solutions:
1. Automatically generated printed labels in batches.
2. Quick jumping to the target file by scanning the QR code.
Approach 4
Solution:
1. Management Database, tracking archives based on data statistics.
Comparison of Results
Time comparison of new processes:
1. Photography
2. Entry information
3. Label Prints
New process reduces overall time by 2/3.

User Flow
3. Button
